Venue
Discuss on Issue #1: https://github.com/hshackers/ClawsConf/issues/1
We need your help finding a place to host this event, otherwise ClawsConf won't be happening. Finding a venue will be our #1 priority at until we secure one. Once we secure a venue, we can proceed with reaching out to sponsors more easily and open registration earlier.
Remember: the earlier, the merrier!
-
The deadline for researching/brainstorming potential venues...is Tuesday November 4.We are currently reaching out to each venue, asking about availability.
-
The deadline for confirming a venue with availability (date, space, etc.)...is Friday November 7.
-
The deadline for booking a venue...is Wednesday November 12.
We are aiming for ClawsConf to happen one of these two dates:
- All day on Saturday December 13
- All day on Saturday December 20
If none of these dates are available, try asking about these dates
- All day on Saturday December 27
- (holiday break, hampers ability to bring in guest speakers)
- All day on Saturday February 7
- (conflicts with hackathons 6+ hours away form NYC)
We will try our best to find venues willing to host 40-100 high school students + adults for free, if not then we will try to find sponsors to foot the bill.
An ideal space would have 2-4 rooms with seating capacity for at least half of the attendees at any given time, and a main hallway with enough space for mingling between sessions, food, possibly and sponsor tables.
Also, try to find something in Manhattan and within reasonable distance from a subway station (or better yet... Penn Station!)
Things a space MUST have:
- Wifi
- Restrooms
- A wall to project things on
- Space/tables for sponsors to set up
- More space/tables to serve food and handle registration
Things that would be strongly RECOMMENDED to have, but are not required:
- Projections
- Sound system
- Kitchen access
Things that are not required but would be cool:
- Access to art supplies/printing
- Dedicated chefs
- Space for drones and chemistry experiments
- Ballpit
- An even bigger room that can fit all the attendees at once
