Creation of an Adaptive Onboarding Document for New Team Members

Description: During our last retrospective, we identified the need for an adaptive onboarding document to provide new team members with a structured and easy-to-understand introduction to our workflows. This document should include all relevant information necessary to understand our organization, internal processes, and the tools we use. It should be created in written form, optionally supported with visuals, and be accessible in a tool that is adaptable for all team members.

Goal: The objective is to create a comprehensive onboarding document that effectively and efficiently introduces new team members to the following areas:

  1. Team Structure and Responsibilities:

    • Our departments: Frontend, Backend, Infrastructure, Design.
  2. Tool Landscape:

    • Detailed overview of the tools used in each department (e.g., development environments, design software, infrastructure tools).
  3. GitHub Usage:

    • Guidelines on backlog management, labeling, and other relevant GitHub features.
  4. Release Process:

    • Explanation of our release workflow.
  5. Meeting Formats:

    • Detailed description of the meeting formats, especially regarding sprint changes.
  6. Communication Channels:

    • Overview of our Slack channels and their intended use.
  7. Time Tracking with ZEP:

    • Guide to using ZEP for time tracking.

Expected Outcomes:

  • An onboarding document that can be continuously updated and adapted.
  • Enable new team members to quickly and efficiently integrate into team workflows.
  • Clear and structured presentation of essential information, supported by visuals where appropriate.

Acceptance Criteria:

  • The document is complete and includes all the above-mentioned content.
  • It is accessible to all team members and created in a tool that supports adaptive use.
  • The information is clearly understandable and visually appealing (where applicable).

Additional Notes: It is recommended to create the document in a tool that allows for easy updates and versioning, such as Confluence or Notion.
